Who we are and why do we require your information?

Meath County Council seeks to promote the economic, social and cultural development of County Meath and in doing so contribute significantly to improving the quality of life of the people of County Meath. The delivery of high quality services, tailored to meet the needs of all our customers, remains one of Meath County Council’s core objectives and is included in our Corporate Plan. In order to provide the most effective and targeted range of services to meet the needs of the citizens, communities and businesses of County Meath, we will be required to collect, process and use certain types of information about people and organisations. Depending on the service being offered, the information sought may include ‘personal data’ as defined by the Data Protection Acts and by the General Data Protection Regulation (GDPR) and may relate to current, past and future service users; past; current and prospective employees; suppliers; and members of the public who may engage in communications with our staff. In addition, staff may be required, from time to time, to collect, process and use certain types of personal data to comply with regulatory or legislative requirements.

Why do we have a privacy statement?

Meath County Council has created this privacy statement in order to demonstrate our firm commitment to privacy and to assure you that in all your dealings with Meath County Council, we will ensure the security of the data you provide to us. Meath County Council creates, collects and processes a significant amount of personal data in various multiple formats on a daily basis. Meath County Council’s commitment is that the personal data you may be required to supply to us is;

What is the activity referred to in this Privacy Statement?

Processing Activity: CommUnity Connect Louth & Meath Website

Purpose of Processing: To provide an online platform for the promotion of community, health, wellbeing, inclusion and support initiatives across County Louth and County Meath; to facilitate the submission and publication of community events; and to administer Champion Hub registrations and related communications.

Context of Processing: The website is operated as part of the CommUnity Connect Louth & Meath project, a joint initiative of Meath County Council and Louth County Council. The website is accessible to members of the public, community groups, voluntary organisations, statutory agencies and other stakeholders.

Description of Processing: Limited personal data is collected and processed through event submission forms and Champion Hub registration forms. This includes contact details and organisation-related information required to administer submissions, manage registrations, communicate with users and maintain the effective operation of the website. Website analytics and cookies are also used to monitor performance, security and user engagement.

What is the basis for making the processing of personal data in this activity lawful?

Processing is necessary for the performance of a task carried out in the public interest or in the exercise of official authority vested in Meath County Council [Article 6(1)(e) of the General Data Protection Regulations, 2016].

Only personal data that is necessary for the administration and operation of the CommUnity Connect Louth & Meath website is collected. Names and contact details (such as email addresses and telephone numbers) are required to identify and communicate with individuals submitting events or registering for the Champion Hub. Organisation names and related information are required to verify submissions, manage registrations and ensure the accuracy and relevance of information published on the website. Technical data collected through cookies and analytics is necessary to maintain website security, monitor performance, understand website usage and support ongoing improvements to the service. No excessive or unnecessary personal data is collected, and all personal data processed is limited to what is required to fulfil the stated purposes of the website.

Is the personal data submitted as part of this activity shared with other organisations?

Meath County Council may, to fulfil statutory or regulatory obligations or in the public interest, from time to time, have to share personal data with other organisations or entities (in Ireland or abroad). Where this is required Meath County Council shall have regard to the security and integrity of the data and will minimise the data shared.

Personal data may be shared with authorised personnel in Meath County Council, Louth County Council and, where relevant, the HSE for the administration of website submissions and Champion Hub activities. Personal data may also be processed by contracted service providers acting as Data Processors, including Bluescope Technologies Ltd, Hetzner Online GmbH, SMTP2GO and Wordfence, for website hosting, maintenance, email delivery and security services

In this activity, if the personal data is to be transferred to a different country, it will be transferred to the following countries (if there are no countries listed, it is not intended to transfer the personal data abroad).:

Personal data is primarily stored and processed within the European Economic Area (EEA), including website hosting and database services located in Finland. The website also uses third-party services provided by Google (Google Analytics, reCAPTCHA and YouTube embeds), which may involve transfers of personal data outside the EEA, including to the United States, subject to appropriate safeguards in accordance with GDPR.

Meath County Council has a detailed record retention policy which goes in to more detail of the time period for which your personal data will be retained by Meath County Council and what will happen to it after the required retention period has expired.
